Description

SITE is looking for an Event and Office Manager to join our team. Are you a service-oriented person that wants to work at a leading international research and policy institute with daily international contact? The Event and Office Manager is responsible for overseeing the general administrative functions and any events or activities in the office. You ensure that guests and colleagues are helped and informed as well as possible. In short, a versatile job in a dynamic environment with a wide variety of tasks.

The role

The Event and Office Manager will manage our events and office and provide support to the CEO, administrative staff, and researchers in their daily activities.

Responsibilities include but not limited to:

  • Organizing and preparing for meetings and events (rooms, meals, invitations, schedules)
  • Meeting and greeting guests, will involve work outside of office hours
  • Assisting with travel arrangements
  • Managing common spaces and maintain a friendly working environment
  • Sorting and distributing incoming and outgoing post
  • Maintaining office fire procedures and health and safety
  • Managing the office purchase orders and invoices
  • Planning kick-offs, Christmas parties and other social activities

Qualifications

  • Event Management and Office Management experience
  • Attention to detail and problem-solving skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong organizational and planning skills
  • Ability to organize conferences and deliver events
  • Full professional proficiency in English and Swedish
  • Excellent written and verbal communication skills
  • A good team player that helps out where needed in a small organization

Meritorious:

  • Knowledge of other languages used in the region we work with is valued such as Russian, Ukrainian, Georgian, and Polish
  • Proficiency in MS Office (MS Word, MS Excel, and MS Outlook in particular)
  • Administrative assistant experience
  • Basic knowledge of accounting routines is also valued

Terms

SITE is an independent research institute at the Stockholm School of Economics (SSE) and was set up in 1989 to focus on economic developments in the Soviet Union but has since then evolved to cover a wider range of countries and topics that are relevant for (former) transition countries.
