Department Administrator – Department of Management & Organization

Education Office

The Education Office (EdO) is one of SSE’s Professional Services units and consists of around 58 colleagues. As a central part of the SSE journey, we support and develop key academic services for students and stakeholders across our BSc, MSc, and PhD programs. Our work spans assessment, program management, scholarships, international collaborations, academic support, central course and exam coordination, as well as degrees and certificates.

About the position 

As Department Administrator at the Department of Management and Organization (DMO), you will support the department’s daily operations through a broad range of administrative tasks. The role includes coordinating processes, supporting faculty and departmental activities, organizing meetings and events, and ensuring that day-to-day administration runs smoothly in our dynamic academic environment. You will work closely with colleagues across the organization and be part of the Education Office’s team of department administrators.

Responsibilities include, but are not limited to: 

The role of the Department Administrator is broad and flexible, involving both administrative and hands-on tasks. This is an excellent opportunity to develop your administrative skills and work within different parts of a dynamic organization. You will support the department as an office manager with a focus on the responsibilities below. 

Main responsibilities: 

  • Administering courses (scheduling, planning exams, reporting grades, updating the course web),
  • Being the contact person for students,
  • Providing support and information to faculty,
  • Arranging meetings, seminars, and other events,
  • Supporting the department head and the departmental staff with various administrative issues, for example travel bookings and simpler financial management 
  • Editing the department’s external web pages,
  • Maintaining databases and filing systems,
  • Communicating with internal and external stakeholders.

You are a service-oriented and collaborative professional with strong communication skills and a structured way of working. You thrive in a fast-paced environment, adapt easily to changing priorities, and are comfortable taking initiative. With strong problem-solving skills and attention to detail, you combine solid technical confidence with a genuine interest in digital development and a desire to help improve SSE’s digital ways of working.  

Requirements: 

  • Experience in an administrative role
  • Oral and written fluency in English
  • Good computer skills, particularly with office programs. 

Meritorious: 

  • Experience or interest in an academic environment,
  • Swedish 

Other 

This is a special fixed-term employment of seven months, with the possibility of extension. The position is full-time and located in Stockholm. We encourage you to apply promptly as we are actively reviewing applications on an ongoing basis.
